By creating a rule based on metadata, it is possible to allow only certain groups to access documents with that metadata.

Fluid Topics v3.7.33 introduces a toggle to activate automatic binding, whereas it was previously only possible to bind a single metadata value to a single metadata key or user group. Automatic binding means that a metadata key generates user groups with the same names as the values of the metadata key (e.g., integrators, premium, Technical Notes, fr-CA, etc.). Each group can access all documents with the corresponding metadata value.

For rights to become effective, it is necessary to select metadata which is associated with a document. If a user selects metadata that is associated with one or more topics, but not with any documents, Fluid Topics does not apply the content access right.

Selecting the Create button in the Assign rights administration interface opens the Create rule drawer as follows:

Where:

  1. A drop-down list to select a metadata key.
  2. A toggle to automatically bind each value for the selected metadata key to a user group with a matching name. If the user activates this toggle, all configuration options below it are grayed out.
  3. A drop-down list to select a metadata value.
  4. A section to define which user group(s) can access documents with the given metadata.
  5. A button to create a new user group.

Metadata are case-sensitive.

It is necessary to reprocess content in order for a new rule to become effective.

Use case 1

To restrict documentation about the Premium version of a product to a VIP user group:

  1. In the Create rule drawer, select the Product Version metadata key.
  2. Select the Premium metadata value.
  3. Select the VIP user group.
  4. Select Save in the Create rule drawer, then select Save in the Assign rights administration interface.

Use case 2

To automatically bind documents with the metadata audience=internal to members of the internal user group:

  1. In the Create rule drawer, select the audience metadata key.
  2. Activate the automatic binding toggle.
  3. Select Save in the Create rule drawer, then select Save in the Assign rights administration interface.
