ADMIN and USERS_ADMIN users can export user information directly in the Manage users interface. One advantage of exporting user information is that it calculates how many active users a tenant has.

A selection of filters make it possible to limit the list to only certain users. If no filters are applied, the exported file lists all users.

To export user information, select the Export to XSLX button in Manage Users interface button. This generates an XLSX file named ft-users.xlsx, which can be opened with spreadsheet software such as Microsoft Excel. The file includes the following information for each user:

  • user ID
  • display name
  • email
  • creation date and time
  • last login date and time
  • whether the account is locked
  • realm
  • roles
  • groups
  • number of user assets, such as bookmarks, saved searches, personal books and collections

Since user data is sensitive, Fluid Topics records the export in an audit trail available in the Back Office.

The following example shows a scenario where an administrator filters on only the internal realm accounts before exporting:
